Fall 2010 Advising Begins March 22, 2010

Approximately 200 faculty attended the training sessions held March 9-12 to demonstrate the PeopleSoft application. If you were unable to attend, the handouts are available on the web. Click on the MyBLUE icon on the left side of http://its.unk.edu. Then click on "Training and Support" in the left column of the next screen. You need to read the document "Faculty Center Training" and it will be helpful to look at "Peoplesoft Glossary."

When you advise students for Fall 2010 registration, you must remove the advising flag, which is now called "releasing a service indicator."

You can log on to the MyBLUE portal today. Go to myblue.unk.edu and enter the same username and password that you use for Firefly. If you encounter problems, call the UNK Helpdesk at 8363 for assistance.

Faculty Training Schedule - March 9, 11, 12

Faculty training sessions are scheduled for March 9, March 11, and March 12 to introduce the PeopleSoft Student Information System. Early registration for the Fall 2010 term begins on March 29.

An advising flag must be removed in the PeopleSoft system so that a student is eligible to enroll for the Fall 2010 term. The student's advisor needs to remove the flag, so it is very important for anyone who advises students to attend the training.

To remove the advising flag, you'll need to first log on to the new system. You'll learn how to do that, too!

Learn the Terminology of PeopleSoft

Work continues, almost twenty-four hours a day, to prepare for our first registration on the new system. Training opportunities for faculty will be announced soon, but learning the PeopleSoft lingo will give you a head start.

In our current system, the term designation is a two-digit numeric year followed by an alpha character representing spring, summer or fall. Spring 2010 is 10S. Summer 2010 is 10U. Fall 2010 would be 10F. In PeopleSoft, the term is a four-digit number. The first digit represents the century. The twenty-first century is 1 and the twentieth century is a zero. The second and third digits are the year. The fourth digit is the semester indicator—1 for spring, 5 for summer, and 8 for fall. This last number designates the month during which the semester begins: January = 1, May = 5, August = 8. So, in PeopleSoft, Fall 2010 is 1108.

The academic program for our students has been defined in our current system by a combination of college, degree, and major. In PeopleSoft, this is called CPP. The combination of career, program and plan is the student’s program of study. Career is GRAD or UGRD. Note that the PG career will no longer exist in Fall 2010. Program is the college—CBT, COE, FAH, NSS. Plan is the major, minor or additional endorsement.

As soon as the dates are announced, make sure you attend a training session to learn to navigate and talk “PeopleSoft.”

Important Summer 2010 Registration Information

Summer 2010 registration is on the current system-WebEASI and WebSMART. Early registration between March 1, 2010 and March 14, 2010 is open to all currently enrolled UNK students. There are no assigned registration times by class standing.

To control enrollment in a Summer 2010 class (i.e. for graduating seniors or upper classmen), the maximum class size can be set to zero and students must contact the instructor or department chair to register, or maximum class size can be set to a minimal number, such as 10, and then instructor permission is required after that number is reached.

No flags will be removed to allow students to register for Summer 2010. Students are not required to see an advisor prior to registration for Summer 2010, but students may choose to check in with their advisor prior to Summer 2010 registration so it is important to available for them.

Registration for Summer 2010 on WebEASI is available to any admitted student from March 15, 2010 to May 8, 2010.

WebEASI, WebSMART and Bogie will be available until the grading process is completed for Summer 2010 in early August. (Since the MyBlue degree audit will not be immediately available, advisors may want to print degree audits for their advisees before the end of July.)

Important Fall 2010 Registration Information

Registration for Fall 2010 for all currently enrolled students begins March 29, 2010 through the MyBlue portal for . There will be assigned registration times by student classification and NU ID number. Advisors must reset a flag to allow students to register, as has been done in the past.

Training for Office Associates on basic access (name, address, phone number, classes) to MyBlue/PeopleSoft begins in mid-February.

Training for faculty and department chairs will begin in late February. Training will be in a lecture format to train as many people as possible as quickly as possible.

Students began receiving email messages on January 8 with instructions for setting a password to allow access to MyBlue. Approximately 50% of 10,000 students have responded. Reminders will be sent in February.

Using PeopleSoft, all call numbers to all courses will be published. Classes can be set up to require faculty permission for registration.

Course IDs will not change (i.e. CDIS 110-01) for on campus classes. E-campus sections will no longer be designated by “80” or greater section numbers. The information on the course will say “web-based” course.

MyBlue/PeopleSoft is web-based and requires no special software on your computer besides a web browser. Recommended browser requirements can be viewed at the “Portal System Requirements” link on http://www.unk.edu/offices/its/itsweb/myblue/index.php.

The MyBlue portal is accessible at http://myblue.unk.edu but functionality is limited.

The Fall 2010 Class Schedule will contain no student registration instructions. Instructions will be posted in the MyBlue portal.

Note that students at other NU campuses will be able to view the UNK class schedule but will be unable to register for a class.

Degree audit for MyBlue/PeopleSoft will be available in January, 2011. Although some information may be accessible in the new degree audit application by November, advisors should plan to have no degree audit capabilities for Spring 2011 advising in October/November 2010.

The schedule for open registrations, drop/add and Summer Advising and Enrollment will be unchanged.

Registration for Summer 2011 and Fall 2011 will be simultaneous, as in the past. Summer 2010 and Fall 2010 registration were scheduled for separate time periods because of the change to MyBlue/PeopleSoft.

PeopleSoft Project Update - February 8, 2010

PeopleSoft Campus Solutions is a transactional system for undergraduate admissions, graduate admissions, international admissions, financial aid, student records, and student financials. Students, faculty and staff connect to the system using the MyBlue portal.

Self-service options for students and faculty will be added as they become available for use. Admissions applications for the fall term of 2010 were submitted via MyBlue beginning in September, 2009. Financial Aid for the fall term of 2010 was available for student use in late January 2010. Between February, 2010, and August, 2010, students will be offered the ability to enroll in classes, change address information, view their billing statement, accept or decline financial aid, and view course schedules, grades and transcripts.

By the fall term of 2010, faculty will be able to view advisee class schedules and eventually enter and change grades.

Interfaces to additional systems will include StarRez, for housing applications, assignment of roommates, and generation of room and board charges; Resource 25 for scheduling of classrooms; and DegreeWorks to perform degree audits for academic advising.

MyBlue and PeopleSoft are generally available between 6am and midnight on Monday through Saturday, with Saturday night and Sunday often reserved for offline maintenance during the implementation period.

Access to MyBlue/PeopleSoft is based on each employee’s role within the organization. Your access to the current student system will be transferred to MyBlue at the appropriate time.

PeopleSoft Project News - February 2, 2010

Financial Aid went live on 1/25/2010.

The project team working on the StarRez implementation has delayed their go-live date from mid February until March.

An email message has been sent to all UNK students asking them to set their password for accessing the MyBlue portal. (MyBlue will replace WebEASI.)
